In the 2c8 Modeling Tool, you can add subscribers to models. Subscribers receive email notifications when a model they subscribe to is published. By using subscribers, you can ensure that end users are always up to date on when a new version of a model is published. Anyone can be set as a subscriber to a model, regardless of whether the person has a license in 2c8 Apps or not. As a user of the 2c8 Modeling Tool, you can also receive receipts that subscribers have actually seen the published model. In this help article, we will go through how subscribers to models work.
A prerequisite for you to be able to add subscribers is that you have an outgoing e-mail server configured in your 2c8 Server and that you publish via FTP, or that you have a publishing site operated by 2c8. You can read more about email server configuration in this help article: How do I configure email sending in 2c8 Apps?
You also need to use the management flow for this feature to work. You can read more about the management flow in this help article: How does model management work in 2c8 Apps?
Manage subscribers
The management of subscribers is handled primarily in the "Browser".
- Click "Browser" in the left panel, then double-click "Subscribers".
- In this view, you see all subscribers that are entered in your repository. In the toolbar in this view you will find several symbols. Below we explain what these symbols mean and how to use them:
1: Click here to add a new subscriber. You need to enter the e-mail, first name and last name of the subscriber. You can also add the user to a subscriber group that you created.
2: Click here to create a new subscriber group. A subscriber group is a collection of subscribers and is used to assign an entire group a model to subscribe to, instead of adding individual subscribers to a model. A subscriber group can, for example, be the "Social Administration", which consists of employees within the Social Administration. The entire group can then be added as a subscriber group to all of the Social Administration's models, and you thereby avoid adding each individual employee.
3: If you have selected a subscriber in the list, you can click on this symbol to bring up information about the subscriber.
4: If you have selected a subscriber in the list, you can click on this symbol to see which models the subscriber subscribes to. Via this symbol, you can also add models to which the person should subscribe, but this can also be done directly on models. More on this under the heading "Put subscribers on models" further down in this article.
5: Clicking this icon allows you to import subscribers from a CSV file. Address books can be exported as CSV files from most email clients, such as Outlook. The export file must comply with the following requirements:
- A header that describes which columns are available.
- At least one of the following columns must be present: "E-mail Address", "E-mail 2 Address", E-mail 3 Address", "E-mail 1 - Value" or "E-mail 2 - Value".
- Any of the following columns can be used to determine the name of the subscriber "Given Name", "First Name", "Family Name", "Last Name" and "Name". If any such column does not exist or the value is not empty for a specific row, the subscriber name will be empty.
Put subscribers on models
As earlier mentioned, every person who is set as a subscriber to models receives an email notification when models they subscribe to are published. You can add subscribers to models in several different ways, below we explain the three easier ways. A prerequisite for adding subscribers to models is that you have added them as subscribers to the repository, as we explain in the paragraph above.
-
Via the Explorer - Same as above, click "Explorer" and then double-click "Subscribers" in the left panel. You will then enter the explorer where a view of subscribers is displayed. Here you can select a subscriber in the list and then click this icon in the toolbar:
You click here on the "Add Models" button and select the models you want to add to the person as a subscriber.
You can also right-click on the person in the list and select "Subscriptions". The same dialog as above will then appear where you can add models for the subscriber. - In the model properties dialog - You can set subscribers directly in a model by right-clicking on an empty area in the model, selecting "Properties" and then the "Maintenance roles" tab. Then click on the "Subscribers" tab. Here you can add existing subscribers, but you can also create a brand new subscriber. The subscribers who are added here will receive a notification via email when the model is published.
- Via the Maintenance view in Browser - You can also click on "Explorer" and then double-click on "Management" in the left panel. In this view, you can select a model and then click the "Subscriber" button in the toolbar to add subscribers to models.
Choose whether subscribers should be notified or not
The user who approves a model in the administration flow is the one who decides whether the subscribers to a model should be notified or not. This is done in 2c8 Approve, where models are approved. When the approver clicks on the "Approve" button, a dialog will appear where he can check off "Notify subscribers when publishing". By default, this option is checked.
The need to not notify subscribers may arise if, for example, you only want to correct a typo in the publication and thereby republish the material.
Receipts
When a subscriber clicks on the link to the model in the email notification, we receive a confirmation in the 2c8 Modeling Tool that the user has clicked on the link. You can find receipts for a model by clicking the "Version History" button in the toolbar when you have the model open.
Click on the "Receipts" tab that appears in the bottom panel. In the "Clicked on link" column, you can see the date and time the subscribers clicked on the link.
